This Privacy Policy explains how Qtask collects, uses and protects the personal data of people who use our website and our platform.

Who we are

Qtask (“Qtask”, “we”, “us”) is a digital services project and platform, currently under development, operated from Sweden. Through Qtask, users can request various types of services, and Qtask facilitates the handling of those requests and the connection with independent collaborators or providers who carry them out. Qtask is not yet incorporated as a registered company; this policy will be updated once a formal legal entity exists. Current controller for the purposes of this policy: Qtask, operated from Sweden. Scope of this policy

This Privacy Policy applies to the qtask.click website, the Qtask platform/app, and the associated forms, communications and services. It describes what personal data we collect, for what purpose, on what legal basis, who we share it with, and what rights users have. It does not apply to third-party websites or services that may be linked from Qtask, which have their own privacy policies.

Data we may collect

Depending on how Qtask is used, we may collect: first and last name; email address; phone number; postal or property address related to the service; details about the requested service (type, description, scope); desired or agreed date and time; photographs related to the service (for example, of the space or the work to be done); files the user chooses to upload; technical information (IP address, device and browser type, session identifiers, platform usage data); and the content of communications with Qtask (for example, emails or support messages). We do not request special categories of data, and we ask users not to include such information in their requests unless strictly necessary for the service.

What we use the data for

We use the data to: manage service requests; contact the user about their request; enable rating of the service received; connect the user with suitable collaborators or providers; prepare and manage quotes; schedule and follow up on services; ensure the security of the platform and prevent misuse; improve and maintain Qtask; carry out usage analysis and statistics; where applicable, display our own advertising and measure its performance; comply with legal obligations; and handle any claims.

Legal bases

We process personal data on the following bases: performance of a contract or pre-contractual measures requested by the user (for example, processing a service request); Qtask’s legitimate interest (for example, improving the platform, preventing fraud or carrying out aggregate analytics), provided that interest does not override the user’s rights and freedoms; consent, where expressly requested (for example, for certain cookies or marketing communications), which can be withdrawn at any time; and compliance with a legal obligation to which Qtask is subject.

Collaborators and service providers

When a user requests a service, Qtask facilitates the connection with independent collaborators or providers who carry out the service. These collaborators receive only the information reasonably necessary to manage or perform the requested service (for example, contact details, service address, a description of the job and, where relevant, photographs). Collaborators are responsible for processing that data in accordance with the rules applicable to the service they provide.

Technology providers

To operate the platform, Qtask may rely on technology providers, which currently may include: Supabase (database and backend); Firebase/Google (infrastructure, authentication and cloud services); Resend (transactional email delivery); WordPress/Hostinger (website hosting and management); and Google (various services, including those described in the sections below). These providers process data on Qtask’s behalf, within the limits necessary to provide their services, and are subject to their own terms and privacy policies.

QTask Google Ads Analytics and Google Ads API

QTask Google Ads Analytics is an internal Qtask tool. It is not a public service and is not available to external users. It is used exclusively to analyse Qtask’s own advertising campaigns in Google Ads. Through the Google Ads API, this tool accesses information from Qtask’s advertising accounts for the purposes of analysis, measurement, optimisation and internal reporting. The information that may be processed includes, among other things, metrics relating to campaigns, ads, ad groups, keywords, costs, impressions, clicks, conversions, and other metrics or settings necessary for advertising analysis. QTask Google Ads Analytics is not used to manage third-party advertising accounts, to sell data, or to build commercial profiles of users independent of the advertising-analysis purposes described here. Information obtained through the Google Ads API is not shared with third parties for their own independent commercial purposes. Appropriate security and data-protection measures are applied to this information, in line with the “Security” section of this policy.

Google Analytics and measurement

Qtask may use Google Analytics (GA4) or similar tools to understand how the website and platform are used: pages visited, time spent, traffic source and other aggregate statistics. This information is used to improve Qtask and to measure the performance of our own advertising campaigns. Where required by law, this measurement is only activated after the user has given consent through the cookie panel.

Cookies and similar technologies

Qtask uses cookies and similar technologies for the basic operation of the site, to remember preferences, to measure platform usage and, where applicable, for advertising purposes. Non-essential cookies are only activated if the user consents through the relevant cookie banner or panel, which allows cookies to be accepted, rejected or configured by category. This consent can be withdrawn at any time from the browser settings or, where available, from the site’s own cookie panel.

Emails and operational communications

We use email mainly for operational communications related to service requests: confirmations, status updates, requests for additional information, follow-up notices and, where applicable, service rating surveys. These emails are sent with the support of providers such as Resend. Where appropriate and on the proper legal basis, we may send informational or marketing communications about Qtask, which will always include the option to unsubscribe.

Photographs

For certain services it may be necessary to provide photographs (for example, of the space or the work to be carried out) so that collaborators can properly assess or perform the job. These photographs are treated as part of the service data and are shared only with the collaborators involved, to the extent necessary. We ask users to avoid including other identifiable people or sensitive information that is not necessary for the service in their photographs.

Data retention

We retain personal data for as long as necessary to fulfil the purposes described in this policy, including managing the requested service, handling any claims and complying with applicable legal retention obligations. After that period, the data is securely deleted or anonymised.

International transfers

Some of our technology providers may process data outside the European Economic Area. Where this occurs, Qtask will seek to ensure such transfers are subject to appropriate legal safeguards, such as European Commission adequacy decisions or standard contractual clauses, in accordance with applicable data protection law.

Security

We apply reasonable technical and organisational measures to protect personal data against unauthorised access, loss, alteration or improper disclosure, including the use of technology providers with their own security measures. However, no system is completely infallible, and we cannot guarantee the absolute security of information transmitted over the internet.

Sale of data

Qtask does not sell personal data to third parties.

Data protection rights

Under the General Data Protection Regulation (GDPR) and other applicable law, users have the right to: access their personal data; request rectification if it is inaccurate; request erasure; request restriction of processing; object to processing in certain cases; and request data portability. These rights can be exercised by writing to privacy@qtask.click. Users also have the right to lodge a complaint with the competent supervisory authority, which in Sweden is the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY).

Children’s data

Qtask is not specifically directed at minors and does not knowingly request personal data from minors. If we become aware that data from a minor has been collected without appropriate consent, we will take reasonable steps to delete it.

External links and services

The Qtask website and platform may contain links to third-party websites or services. Qtask is not responsible for the privacy practices or content of those external sites or services, and we recommend reviewing their own privacy policies.

Changes to this Privacy Policy

We may update this Privacy Policy in the future, for example to reflect changes in our services, in applicable law, or in the formal incorporation of Qtask as a legal entity. We will publish any material change on this same page, together with the date of the last update.
